You will be the orchestrator of transformation for Omarian Atman Studios. This role is central to delivering unforgettable, high-impact experiences — from intimate in-person retreats (“The Omarian Atman Experience”) to virtual events, workshops, Galactic Nation gatherings, and live podcast recordings. You ensure every event and retreat runs smoothly, feels energetically aligned, and creates lasting transformation for participants. Working closely with the founder, you’ll help scale our most powerful offerings while maintaining the highest standards of care, beauty, and professionalism.

Core Responsibilities

• Plan, coordinate, and execute all retreats in Cedar City, Utah (5-day to 30-day immersives).

• Manage end-to-end logistics: venue setup, scheduling, accommodations, meals, transportation, and materials.

• Coordinate with clients before, during, and after retreats (pre-arrival preparation, daily schedules, post-retreat integration support).

• Support hybrid and virtual events, workshops, and live sessions.

• Handle vendor relationships (catering, lodging, photographers, tech support, etc.).

• Prepare retreat welcome packets, session materials, and experiential elements that reflect the brand’s aesthetic and energetic standards.

• Manage retreat budgets, timelines, and participant communications.

• Ensure seamless integration between retreats and other services (astrology readings, Accu Light sessions, Starr Path Photography, etc.).

• Collect feedback and implement improvements for future events.

• Support podcast live events and community gatherings.

• Maintain detailed records and assist with post-event follow-up for memberships and additional services.

 

What Success Looks Like in 90 Days

• Successful delivery of at least 2–3 high-quality retreats or major events with excellent client feedback.

• Smooth logistics with zero major issues or oversights.

• Strong collaboration with Sales, Client Experience, and the founder.

• Clear systems and checklists established for repeatable retreat delivery.

• Measurable contribution to revenue through upsells and repeat/high-ticket bookings.

 

Requirements & Qualifications

Must-Haves:

• 2–4+ years of event planning, retreat coordination, hospitality, or wellness program management experience.

• Exceptional organizational and project management skills.

• Strong attention to detail and ability to handle multiple priorities.

• Experience managing budgets and vendors.

• Outstanding communication and client service skills.

• Comfort working in a holistic, spiritually-oriented environment.

Nice-to-Haves:

• Background in wellness retreats, yoga, personal development programs, or luxury hospitality.

• Experience with high-ticket immersive experiences ($5K–$20K+).

• Knowledge of southern Utah venues and logistics.

• Basic graphic design or content creation skills.

• Certification in event planning or project management (preferred but not required).

• Maintaining absolute confidentiality — you may not discuss private client matters, session details, or internal studio information with anyone outside the office, including friends, family, or on social media.

• Exercising high-level loyalty to Omarian Atman. If you need to discuss something sensitive, you must first ask privately for permission and confirmation that it is appropriate before any conversation occurs.
